This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices you have with respect to your information. Please read it carefully. Information you provide directly
When you create an account, register for an event, submit a pitch, schedule a 1:1 meeting, or otherwise interact with our Services, you may provide us with:
- Your name, email address, and professional title
- Company name, industry vertical, and role
- Profile information including a biography, headshot, and LinkedIn or other professional profile URL
- Pitch materials, presentation content, and other documents you choose to share through the platform
- Communications you send to us, including support requests and feedback
- Payment information when purchasing a paid service or sponsorship (processed by a third-party payment provider; we do not store full payment card details)
Information collected automatically
When you use our Services, we and our service providers may automatically collect certain technical information, including:
- IP address, browser type, operating system, and device identifiers
- Pages visited, time spent on pages, links clicked, and navigation patterns
- Referring URLs and search terms used to find our Services
- Session and event attendance data, including which sessions you joined and for how long
- Cookie identifiers and similar tracking technologies (see Section 5 below)
Information from third parties
We may receive information about you from third-party sources, including:
- Social or professional networks (such as LinkedIn) if you connect your account or sign in using a third-party authentication service

- Creating and managing your account and profile
- Processing event registrations, pitch submissions, and 1:1 scheduling requests
- Sending you session confirmations, reminders, and follow-up communications
- Operating the community directory and participant matching features
- Analyzing usage patterns to improve the quality, reliability, and relevance of our Services
Communications
- Sending transactional communications related to your account and event participation
- Sending community newsletters, event announcements, and platform updates, where you have opted in or where we have a legitimate interest in keeping you informed about the Services you use
- Responding to your inquiries and support requests
Community and matching
- Displaying your profile information to other community members in accordance with your privacy settings
- Facilitating introductions, 1:1 meeting scheduling, and networking between participants
- Recommending relevant events, sessions, and connections based on your industry vertical and participation history
Legal and security
- Detecting, investigating, and preventing fraudulent activity, abuse, or violations of our Terms of Service
- Complying with applicable laws, regulations, and legal obligations
- Enforcing our agreements and protecting the rights, property, and safety of Exponanta, our users, and the public
3. How We Share Your Information
We do not sell your personal information to third parties. We share information only in the following circumstances:
With other community members
Your profile information — including your name, title, company, industry vertical, and any biography or headshot you provide — is visible to other registered members of the Exponanta community in accordance with your privacy settings. Pitch materials you submit through the platform may be shared with session participants and attendees. You control the level of profile visibility through your account settings.
With service providers
We share information with third-party vendors and service providers who perform services on our behalf, such as hosting infrastructure, video conferencing, email delivery, analytics, payment processing, and customer support. These providers are contractually required to use your information only for the purposes of providing services to us and to maintain appropriate security measures.
With event partners and sponsors
If you register for a co-hosted or sponsored event, we may share your registration information with the event co-organizer or sponsor, subject to their own privacy practices. We will notify you at the time of registration if your information will be shared with a third-party partner in this way.
In connection with business transfers
If Exponanta is involved in a merger, acquisition, reorganization, or sale of all or substantially all of its assets, your information may be transferred as part of that transaction. We will notify you via email or a prominent notice on our website if such a transfer occurs and inform you of any choices you may have regarding your information.
For legal reasons
We may disclose your information if we believe in good faith that disclosure is necessary to comply with a legal obligation, respond to a valid legal process, protect the safety of any person, prevent fraud or abuse, or protect Exponanta's legal rights.
4. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the Services. If you close your account, we will delete or anonymize your personal information within a reasonable time, except where we are required by law to retain it, where we need it to resolve disputes or enforce our agreements, or where it has been aggregated or anonymized in a way that no longer identifies you.
Transactional records, including payment records and event attendance logs, may be retained for up to seven years to comply with tax and accounting requirements.
5. Cookies and Tracking Technologies
We use cookies and similar technologies to operate and improve our Services, remember your preferences, measure the effectiveness of our communications, and understand how our community uses the platform.
Types of cookies we use
- Essential cookies: Required for the Services to function. These cannot be disabled without impairing core functionality such as login sessions and security features.
- Analytics cookies: Help us understand how visitors interact with our Services, which pages are visited most frequently, and where users encounter difficulties. We use this information to improve the platform.

Email communications
You may opt out of marketing and newsletter emails at any time by clicking the unsubscribe link in any such email or by contacting us directly. You will continue to receive transactional and account-related emails even after opting out of marketing communications.
7. California Residents
If you are a California resident, the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), provides you with specific rights regarding your personal information.
You have the right to know what personal information we collect, disclose, and sell or share; the right to delete personal information we have collected from you; the right to correct inaccurate personal information; the right to opt out of the sale or sharing of personal information; the right to limit the use of sensitive personal information; and the right not to be discriminated against for exercising your rights.
As noted above, we do not sell your personal information and do not share it for cross-context behavioral advertising purposes. We will verify your identity before processing your request and will respond within 45 days, with an extension of an additional 45 days where reasonably necessary.
California residents may also designate an authorized agent to submit requests on their behalf. Authorized agents must provide written authorization signed by the California resident and may be required to verify their own identity.
8. Children's Privacy
Our Services are intended for individuals who are 18 years of age or older. We do not knowingly collect personal information from children under the age of 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as promptly as possible. If you believe that a child under 13 has provided us with personal information, please contact us immediately using the information in Section 11.
